1. General Information

Singing Birds Voice Studio (“we”, “our”, “the Institute”) provides online and in-person courses, workshops, teacher training programmes, conducting programmes, digital products, coaching and educational services.
By enrolling in any course or accessing our materials, the student (“you”) agrees to these Terms & Conditions.

2. Accuracy of Information

All course descriptions, schedules, pricing and promotional information on our website, brochures and communication channels are presented truthfully and accurately.

3. Administration & Communication

3.1 Response Time

Administrative questions are answered within 3 business days.

3.2 Contact Options

Students may reach us via email or voicemail at any time.

3.3 Registration Records

We maintain accurate internal records of enrolments, payments, course participation and communication.

4. Student Evaluation & Video Examinations

We work with practical video-based evaluations, as they provide the most accurate insight into your progress.

4.1 Certification Courses — Final Video Exam

Students complete a final video exam demonstrating:

  • integration of technical and motor-vocal skills

  • body–voice coordination

  • reflex-based techniques

  • teaching/direction competencies (where applicable)

4.2 First Vocal Aid — “Before” & “After” Videos

Students submit:

  • a short video before starting the course

  • a short video after completion
    to objectively measure progress.

4.3 Conducting Courses — Video Assessment

Students complete a video exam demonstrating conducting techniques, gesture clarity, rhythmic precision and musical interpretation.
Structured feedback is provided with the possibility of resubmission depending on the course.

4.4 Inclusion & Adaptive Learning

We may offer additional free modules or short sessions when beneficial for:

  • neurodivergent students

  • students with physical or motor limitations

  • students needing deeper integration of reflex-based techniques

This is part of our core approach to inclusive and adaptive education.

4.5 Course Development Based on Student Progress

We regularly review anonymised video exams to improve course materials, expand exercises and adjust methodologies.

5. Course Information Transparency

Each course page clearly states:

  • course title

  • content and goals

  • target group

  • level

  • entry requirements (if applicable)

  • required or included materials

  • schedule and duration

  • weekly study load

  • pricing

  • certification/exam requirements

6. Language of Contracts

All Terms & Conditions and course agreements are provided in English.
Upon request, official versions can be provided in Dutch or Ukrainian.

Students receive a digital copy of these Terms & Conditions upon registration.

7. Payment Terms

7.1 Payment Structure

  • Payments are due immediately unless otherwise specified.

  • Invoiced services require payment within 14 days.

 

7.2 Payment Methods

We accept:

  • iDEAL

  • Stripe

  • PayPal

  • Credit cards

  • Bank transfer

7.3 Subscriptions

Subscriptions renew automatically.
Cancellation stops future payments but does not refund completed charges.

8. Refund & Cancellation Policy

8.1 Refund Processing

Once approved, refunds are issued the same day.
Funds appear in your bank account within 1–5 business days depending on your bank.

8.2 Digital Products

Digital downloads are non-refundable once delivered.

8.3 Online Courses (Scheduled Start)

Refunds are possible until 48 hours before the course begins.
After the course starts, refunds are not available.

8.4 Live Workshops & Events

Refunds possible up to 7 days before the event.
Within 7 days: transferrable but non-refundable.
No-shows are non-refundable.

8.5 Teacher Certification Programmes

  • Deposits are non-refundable.

  • Full refund within 7 days of purchase if no learning materials have been accessed.

  • After access is granted, no refunds apply.

9. Force Majeure Policy

Students may request refunds in exceptional circumstances such as:

  • war or armed conflict

  • natural disasters

  • severe illness

  • critical personal emergencies

 

Procedure:

  1. Submit a written request via email.

  2. We review within 14 days.

  3. If circumstances qualify, a full or partial refund may be granted.

  4. Refunds are not granted if more than 75% of the course has been completed.

  5. Unresolved cases may be escalated to an independent mediator (see Section 13).

 

10. Lesson Recording & Media Use

10.1 Internal Lesson Recording

Some online lessons may be recorded for:

  • internal quality control

  • teacher supervision

  • progress monitoring

Recordings remain confidential and secure.

10.2 Use of Educational Clips

If a short excerpt demonstrates remarkable progress or educational value, we may request your permission to use it in our social media or educational content.
No content is posted without explicit written consent.

11. Intellectual Property

All course materials — videos, audio, written content, exercises, graphics and digital products — remain the property of Singing Birds Voice Studio.
Students receive a personal, non-transferable licence for educational use only.

12. Course Delivery & Scheduling

We reserve the right to update or modify lessons, reschedule sessions or adjust content where necessary.
If a course cannot be delivered due to our responsibility, a full refund is provided.

13. Complaints Procedure (Klachtenregeling)

This complaint procedure is public and applies to all students.

13.1 Responsible Person

13.2 Confidentiality

All complaints are treated confidentially.

13.3 Response Time

  • Confirmation within 3 business days

  • Full response within 4 weeks

 

13.4 Extended Investigation

If more time is needed, you will be informed with a revised timeline.

13.5 Independent Mediator

If a complaint cannot be resolved internally, it may be escalated to an:

13.6 Log & Retention

All complaints and resolutions are logged and stored for 5 years.

13.7 External Options

Students may also contact:

  • the EU Online Dispute Resolution platform (if applicable)

  • their national consumer protection authority.

 

14. Data Protection & GDPR

We collect only essential personal data and never share it with third parties except:

  • payment processors

  • website platforms

  • the independent mediator (if required)

Students may request correction or deletion of their data at any time.

15. Liability Disclaimer

Our courses are educational and do not substitute medical, therapeutic or physical treatment.
Students are responsible for monitoring their own wellbeing during practice.
We are not liable for injuries caused by incorrect practice or ignoring teacher instructions.
